1. About Floor Dispatch
Floor Dispatch ("we," "us," or "our") is a scheduling and communications platform for flooring retailers and their contracted installation teams. This Privacy Policy explains how we collect, use, and protect information when you use our platform, whether as a store administrator, scheduler, installer, or a third party whose information is entered by a store on your behalf.
2. Information We Collect
- Account information: name, email address, phone number, and password hash for registered users.
- Customer appointment data: customer name, phone number, email address, and service address entered by store staff when creating appointments.
- Installer profile data: name, email, phone, insurance documents, and notification preferences for contractors enrolled in the platform.
- Usage data: IP addresses, browser/device identifiers, and session logs collected automatically when you use the platform.
- Communications data: records of every SMS and email sent or attempted through the platform, including delivery status.
3. How We Use Your Information
- To deliver appointment scheduling and coordination services to flooring stores and their installers.
- To send SMS and email notifications related to appointments — confirmations, reminders, job offers, and completion updates.
- To maintain communication logs for compliance, troubleshooting, and audit purposes.
- To verify installer insurance and manage contractor enrollment.

4. SMS Messaging
Floor Dispatch sends transactional text messages (SMS) using a registered 10-digit long code (10DLC) through Twilio. Messages may include appointment confirmations, reminders, installer job offers, schedule updates, and review requests.
- Consent: SMS messages are sent only to phone numbers for which express consent has been obtained — either directly from the installer at account creation, or attested by store staff on behalf of a customer at the time the appointment is created.
- Message frequency: Varies based on the number of scheduled appointments and actions taken. Typical customers receive 2–5 messages per appointment.
- Rates: Message and data rates may apply depending on your mobile carrier and plan.
- Opt-out: Reply STOP to any message to unsubscribe immediately. You will receive no further SMS messages for that phone number. Reply UNSTOP or START to re-subscribe.
- Help: Reply HELP for assistance or contact us at the address below.
- No sharing: We do not sell or share your phone number with third parties for their marketing purposes.
5. Sharing of Information
We do not sell personal information. We may share information with:
- Twilio Inc. — for SMS delivery.
- Postmark (Wildbit LLC) — for email delivery.
- Supabase Inc. — for database hosting.
- Vercel Inc. — for application hosting and delivery.
- Law enforcement or regulators when required by applicable law.
Store staff can view appointment and communication data for their own store. Information is strictly isolated between stores — no store can access another store's customer or installer data.
6. Data Retention
Appointment records and notification logs are retained for as long as the store account is active, plus a minimum of 3 years after account closure to satisfy audit and compliance requirements. Installer accounts and associated data are retained until deletion is requested.
7. Security
We use industry-standard safeguards including HTTPS encryption in transit, hashed passwords, and row-level security on our database. No method of transmission or storage is 100% secure. We will notify affected parties of any confirmed breach in accordance with applicable law.
8. Your Rights

9. Children
Floor Dispatch is a business-to-business platform and is not directed to individuals under the age of 18. We do not knowingly collect personal information from minors.
